Salon is a curated contemporary art platform based in France.

2. Scope of this policy

This Privacy Policy applies to personal data collected through:

  • our website at lesalon.art
  • our WordPress and WooCommerce website, store, cart, and checkout;
  • newsletter, contact, expression of interest, and other website forms;
  • artist, curator, art critic, collector, and professional communications;
  • customer support and email correspondence;
  • order fulfilment, shipping, returns, and exchanges;
  • Salon’s internal operating system and related workflow tools;
  • analytics, advertising, website security, and website performance tools, where enabled.

Depending on how you interact with Salon, we may collect the following categories of personal data.

Website visitors

When you browse our website, we may collect:

Collectors and customers

When you purchase or attempt to purchase an artwork, create a customer account, contact us, or request support, we may collect:

  • name and surname;
  • email address;
  • phone number, where provided;
  • billing address;
  • shipping address;
  • order details;
  • purchased artwork details;
  • payment status;
  • tax and VAT information connected to the order;
  • shipping method, tracking number, and delivery status;
  • customer service messages;
  • returns or exchange information;
  • account login details, where customer accounts are enabled.

Payment card and payment-processing data are handled by WooPayments and its payment partners. Salon does not store full payment-card details.

Newsletter subscribers and VIP preview contacts

When you subscribe to receive updates or are added to a Salon communication list with an appropriate basis, we may collect:

  • name, where provided;
  • email address;
  • communication preferences;
  • VIP preview eligibility, where relevant;
  • email engagement data, such as opens, clicks, unsubscribes, and preferences, where this tracking is enabled.

We use Klaviyo for email marketing and related communication management.

Artists, curators, art critics, and professional collaborators

When you submit an expression of interest, apply to work with Salon, complete onboarding, or collaborate with us, we may collect:

  • name and surname;
  • email address;
  • phone number;
  • city and country of residence;
  • nationality, where relevant to the professional process;
  • languages spoken;
  • artist, curator, or critic biography;
  • artist statement, curatorial statement, or critical statement;
  • website, Instagram, LinkedIn, portfolio, CV, or other professional links;
  • profile photo;
  • application materials and work samples;
  • professional background and exhibition history;
  • bank, billing, VAT, invoice, or tax information, where needed for payment;
  • agreement, consent, or contract records;
  • communications with Salon.

Only approved public-facing profile material is used on public artist, curator, or art critic pages. Private administrative, identity, payment, tax, banking, and internal assessment information is not published.

Internal operating system and workflow records

Salon uses an internal operating system and related workflow tools to manage its artist, artwork, acquisition, exhibition, collector, order, fulfilment, and operational records.

This may include:

  • artist, curator, and art critic records;
  • artwork and inventory information;
  • submission, review, acquisition, and exhibition workflow data;
  • collector and order information;
  • shipping, return, and exchange status;
  • internal notes, task records, and communications required to operate Salon.

Access to this information is limited to authorised members of the Salon team and service providers who need access for the relevant operational purpose.

4. How we collect personal data

We collect personal data when:

  • you provide it directly through our website, checkout, forms, emails, or account tools;
  • you purchase an artwork or interact with the WooCommerce cart or checkout;
  • you subscribe to our newsletter or request VIP preview access;
  • you submit an artist, curator, art critic, or professional expression of interest;
  • you correspond with us by email or another communication channel;
  • our website, analytics tools, cookie tools, advertising tools, fulfilment tools, security tools, ecommerce tools, hosting tools, or internal operating system generate technical or operational data.

In limited cases, we may collect professional information from publicly available sources, such as an artist’s website, public Instagram profile, gallery biography, institutional profile, or professional portfolio, where relevant to artist, curator, or art critic review.

5. Why we use personal data and our legal bases

We process personal data only where we have a lawful basis to do so.

Our website is built with WordPress and WooCommerce, hosted by Hostinger, and managed using WordPress plugins and website tools that help us build, operate, secure, and optimise the site.

These may include tools for:

  • page building and website layout;
  • forms and customer communication;
  • caching, speed, and website performance;
  • analytics, advertising, and tracking script management;
  • cookie consent and preference management;
  • security, backups, and technical maintenance;
  • custom content fields and website administration.

The current site setup includes tools such as WooCommerce, Elementor, Elementor Pro, LiteSpeed Cache, WPCode Lite, Secure Custom Fields, Unlimited Elements for Elementor, Classic Editor, Duplicate Page, CookieYes, and related WooCommerce or Elementor extensions.

Not all plugins process personal data in the same way. Where a plugin or tool processes personal data, it is used only as necessary for the relevant website, ecommerce, security, analytics, communication, consent-management, or operational purpose.

8. Third parties and service providers

We do not sell your personal data.

We may share personal data with trusted service providers where necessary for the purposes described in this policy. These may include:

  • public authorities, regulators, courts, customs authorities, or law-enforcement bodies where required by law.

Each service provider may process personal data only as needed to provide the relevant service, subject to their own contractual, legal, and security obligations.

9. International data transfers

Some of our service providers may process personal data outside France, the European Economic Area, the United Kingdom, or Switzerland.

Where personal data is transferred internationally, we rely on appropriate safeguards where required, such as adequacy decisions, standard contractual clauses, data-processing agreements, or equivalent lawful transfer mechanisms.

10. Public artist, curator, and art critic profiles

Salon may publish public-facing professional profiles for artists, curators, and art critics.

These profiles may include:

  • display name;
  • profile photo;
  • short biography or career summary;
  • artist statement, curatorial statement, or critical statement;
  • website, Instagram, LinkedIn, or other professional links;
  • past works or exhibitions, where relevant.

Public profiles are created from approved public-facing material only. We do not publish private contact details, billing information, bank details, tax identifiers, national identification numbers, private correspondence, internal notes, or payment records.

11. Use of AI-assisted tools

Salon may use AI-assisted tools to help draft, summarise, organise, or review internal and public-facing material. This may include assistance with review summaries, artwork descriptions, administrative drafts, professional profile drafts, or internal workflow outputs.

Where AI-assisted tools are used, Salon remains responsible for checking and approving outputs before they are used externally. We do not rely on solely automated decision-making to make decisions that produce legal or similarly significant effects for individuals.

12. How long we keep personal data

We keep personal data only for as long as necessary for the purposes for which it was collected, unless a longer retention period is required or permitted by law.

In general:

  • website technical, security, and analytics data is kept according to the retention settings of the relevant analytics, cookie, hosting, or security tool;
  • cookie consent records are kept for as long as needed to record and respect consent choices and meet legal obligations;
  • newsletter and marketing data is kept until you unsubscribe, withdraw consent, or we otherwise remove inactive or outdated contacts;
  • customer account and order data is kept for as long as needed to manage the customer relationship, fulfil the order, handle returns or exchanges, and comply with accounting, tax, and legal obligations;
  • invoice, payment, tax, and accounting records are kept for the legally required retention period;
  • artist, curator, and art critic application data is kept for as long as needed to review the application, manage future professional contact where appropriate, and maintain Salon’s professional records;
  • onboarding, contract, agreement, payment, and invoice records for professional collaborators are kept for as long as needed to manage the working relationship, payment records, legal obligations, and legitimate business records;
  • internal operating system records are kept for as long as needed to manage Salon’s artwork, artist, exhibition, collector, order, fulfilment, provenance, return, exchange, compliance, and business records;
  • public profile information is kept while the relevant profile is active, and may be retained in archives where needed for exhibition, provenance, historical, or legitimate business recordkeeping.

When data is no longer required, we delete it, anonymise it, or archive it securely where lawful and appropriate.

13. Security

We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration, or disclosure.

Access to personal data is limited to people and service providers who need it for the purposes described in this policy. More sensitive information, such as payment, banking, tax, identity, or private operational records, is restricted to authorised users.

No method of transmission or storage is completely secure, but we take care to use reliable systems and appropriate access controls.

Salon is not directed at children. We do not knowingly collect personal data from children for marketing, sales, or professional application purposes.
